Privacy Policy

IntelliProctor is an online exam administration and proctoring platform provided by Diggy Solutions and operated by Liberia Christian Academy (the “Institution”). This policy explains what information is collected when you take or administer an exam, how it is used, and the choices available to you. The Institution is the data controller; Diggy Solutions acts as its processor.
Information we collect
- Registration details — name, email address, and any custom fields the Institution requires (for example, a student ID).
- Exam activity — your responses, timing, scores, and results.
- Proctoring data — periodic webcam snapshots captured during an exam (typically every 30 seconds), and, where identity verification is required, an image of a government or school ID together with a webcam photo used solely to confirm a match.
- Integrity signals — browser events such as switching tabs, losing window focus, or leaving full-screen during an exam.
- Technical data — IP address, browser/device information, and audit logs of key actions.
Biometric and webcam data
Identity verification compares the submitted ID photo to a webcam photo using face-matching software that runs on the deployment’s own server. Biometric comparison is performed locally and is not sent to any third-party biometric service. Webcam snapshots and ID images are stored in private, access-controlled storage and are visible only to authorized reviewers at the Institution.
How we use this information
- To deliver, proctor, and score exams, and to issue results and certificates.
- To verify the identity of examinees where the Institution requires it.
- To detect and review potential exam irregularities.
- To maintain security and an audit trail.
Data sharing
Exam and proctoring data is shared with the Institution administering your exam. We do not sell personal data. Limited service providers (such as hosting and email delivery) process data on our behalf under appropriate safeguards. Where the exam is delivered through Google Classroom, the Google account information you present is used only to identify you for that assignment and to return your grade to the Classroom gradebook.
Data residency
Personal data, including webcam snapshots and ID images, is stored on the infrastructure and in the region designated for the Institution’s deployment. It does not leave that environment for biometric processing.
Retention
Data is retained for configurable periods set by the Institution and then deleted — by default, webcam snapshots for 90 days, identity-verification images for 365 days, certificates for 2 years, and audit logs for 5 years. Results may be retained longer where required for the Institution’s records.
Children’s data
Exams may be taken by minors. The Institution is responsible for obtaining any parental or guardian consent required by applicable law (for example, FERPA or comparable regulations) and acts as the controller of student data.
Your rights
You may request access to, correction of, or deletion of your personal data by contacting the Institution that administered your exam. Requests directed to Diggy Solutions will be forwarded to the relevant Institution.
